We have an exciting opportunity to join our Student Voice & Influence Team in the role of Student Voice & Influence Coordinator - Academic Societies.

The successful candidate will be responsible for working with HUSU student-led Academic Societies, supporting them to ensure they deliver safe, accessible student-led academic societies for all students that align and work with academic representation, and liaise with university stakeholders to support this work.

About the Role

Responsibilities

Service delivery

    • Working with elected/appointed Part-time Officers, student representatives, and key stakeholders, the postholder will support and raise the profile of Academic Societies. This will include liaising with university academic staff members.
    • Support student volunteers to develop and lead high-quality student-led academic society activities and increase student participation in academic societies.
    • Support student volunteers to facilitate and co-create taster and one-off events and activities to provide light-touch introductory engagement opportunities for students.
    • Ensure activities are safe, inclusive, and accessible, alongside supporting projects and events, and make sure the HUSU Members Code of Conduct and policies are followed.
    • Working to budget, plan, deliver, evaluate, and promote participation in HUSU’s academic societies and other events.
    • Working with the Student Voice and Influence Coordinator (Academic Experience), supporting the President for Academic Experience, Faculty Part-Time Officers, student and academic representatives, and academic society committee members to develop working relationships and clear communication between academic societies and representatives.
    • Support academic societies with concerns and mediation to help them reach resolutions that ensure all members' safety and well-being.
    • Work with Presidents and the wider team on the Reward and Recognition framework in which academic societies can participate, working closely with the President team to make ongoing improvements to the schemes.
    • Support and encourage academic society fundraising activities for their activities and for external charity organisations where appropriate.
    • Facilitate academic society applications for HUSU grants, research and highlight external grants on offer.
    • Engage with students face-to-face and digitally, thinking creatively and innovatively about methods of encouraging meaningful student engagement with Union activities, including those students not based on the Hull campus.
    • Work collaboratively with the wider Membership Services team on a range of projects and events in line with the strategic aims of the students’ union, including elections, awards events, training and recruitment of representatives.
    • Contribute to creating and delivering training and developmental activities for our Part-Time Officers and student volunteers to enhance their graduate employability and support them in creating high-quality, safe opportunities for all University of Hull students, focusing on student-led academic societies.
    • Work alongside the Presidents, Part-Time Officers and student representatives to support and facilitate meetings such as Societies Council and wider student and President-led engagement opportunities and events.
    • Conduct data analysis, research and evaluation projects with students and in the students’ union sector to help inform student voice work, particularly academic societies.
    • Establish and maintain relationships with colleagues across HUSU, the University and, where appropriate, external partners, including other students’ unions, to ensure the delivery of HUSU’s student academic societies-focused activities.
    • Undertake a range of administrative tasks and duties to ensure the development and delivery of HUSU’s academic society activities (for example, maintaining accurate records, drafting marketing materials, and note-taking).
    • Encourage the development of leadership skills of Part-Time Officers through mentoring and coaching support.
    • Facilitate creative engagement opportunities for students to contribute to voice and representation activities to feed into the work of reps, Part-Time Officers and Presidents.

Reporting and information management

    • Prepare and present reports on matters relating to Student Voice and Influence, particularly Academic Societies.
    • Effectively use the Students’ Union’s CRM (SUMS) to enhance student voice and influence work in line with the organisation's strategic aims.
    • Monitor the payment of membership and all fees as they fall due by students through our CRM (SUMS) system.
    • Conduct ongoing evaluation and monitoring of academic societies to develop and improve the support and training provided for academic societies throughout the year to ensure they meet students’ needs.

Team working

    • As a member of the Membership Services Team, the post holder may occasionally be required to support the work of colleagues within the wider team or across HUSU for joint events and activities. These might include, for example, Freshers Week, Varsity, Elections, Celebration and Award Events, Open days, and training sessions.
    • Work as part of a team to cover colleagues if absent for any reason to ensure the continued delivery of activities across all areas of the Student Voice and Influence team.

General duties and responsibilities

    • Ensure confidentiality at all times in handling and disseminating information and data and embedding and implementing GDPR across the workload.
    • Carry out all duties in accordance with HUSU’s policies and with the organisation’s values and strategic aims.
    • Ensure the Health and Safety policies and procedures are followed at all times.
    • Maintain an active awareness of issues and practice in Students’ Unions nationally to build on good practice and identify trends, innovation, and development opportunities. Make connections and network with colleagues across the UK and internationally.
    • Carry out any other duties as may be required from time to time under the overall scope of the role.
